MINUTES OF MIS-MANAGEMENT MEETING 8th JANUARY 2008 

Present:         Dave and Pauline Squibb, Alex Bardswell, Sandy Lane, Geoff Kirby, Jon and Jeni Richards, Mark Davey 

1.                     Apologies for absence 

                        There were no apologies for absence. 

2.                     Accounts 

                        a.         Approval of accounts. 

The accounts presented by Geoff were accepted as a true record. 

                        b.         Policy for 2008 

                                    Geoff had previously distributed a report on the accounts for 2007 and the consequences for 2008. This showed that the Hash assets had reduced from £1,356.99 to £768.48 over 2007. This reflected the policy implemented for 2007 that assets would be reduced for the benefit of hashers. 

                                    Geoff recommended that the assets could be further reduced in 2008 but by no more than £300.  This would reduce the assets to about £460 which still gave a safe margin for unexpected expenses. 

                                    It was decided: 

                                    -           To keep subscriptions at £1 per run or £12 per half-year. 

-           To reduce Down! Down! costs by giving fewer drinks and making more drinks half-pints. Pints would be reserved for serious punishments. 

-           To reduce subsidies on outings; for example, by charging at least £5 per head for coach expenses. These charges would be collected ‘up front’ and be non-returnable. 

-           To still give engraved mugs for celebration runs, and 

-           To continue with the Public Liability insurance. 

                                    Geoff agreed to keep an eye on the spend rate during 2008 and alert the Mis-Management to any expected problems.

3.         1940s Themed Party, February 16th 2008. 

            a.         Flyers 

                        Both Geoff and Shona Rosewell had been asked to produce flyers. Shona’s design was accepted and Geoff agreed to produce sufficient copies in time for the next Hash.

On paying their £5, hashers will be given a ‘ration Book’ with their name on. The format was agreed and Geoff agreed to produce these ‘Ration Books’ based on Sandy’s real example.

b.         Numbers so far signed up 

            About fifteen hashers reserved places at the previous hash and it is expected that the final number could be about forty. 

            It was agree that everyone would push hashers to pay and sign up. 

c.         Food

             Andie Rosewell had negotiated with John Parker to provide food for £4 per head.  

This would consist of Stew and Dumplings, Bread and Butter Pudding and a vegetarian option. 

d.         Games 

            These were said to be under control. Mark has visited the Nothe Fort and had arranged to borrow several items for the party. Thanks were expressed to Jane Chandler for helping with this.

 e.         Cost

             A charge of £5 was agreed. The would cover the cost of the meals and at least part of the incidental costs.  

f.          Other items 

                        Jon agreed to organise a raffle.

4.                     AGM 17th February 2008

                        b.        Other items 

            Geoff agreed to produce a list of pubs visited in the past two years together with a list of the number of times individual hashers had set hashes. He would also rate the pubs in terms of ‘Hash Friendliness’.

                                    It was agreed encourage hares to put more effort into setting minis. Quite often no provision is made for the Mini. A Mini should be set and a Hare should either accompany it or make sure that it is safely sent on a shortcut. 

                                    Hares should strike through regroups so that latecomers can find the trail. 

5.                      Dorset Leisure Month, May 2008 

                                    It was agreed to run a ‘Taste of Hashing’ event the same as in 2007. 

(Post-Meeting note: Geoff has completed the forms and sent them off nominating May 18th for the event using the Spyglass Inn as in 2007.)

 6.                    Any Other Business
